Roles and Responsibilities – OSMS
This guide explores the various roles within the online school management system (OSMS), outlining the key functionalities and responsibilities associated with each. By understanding these roles, schools can leverage the system’s full potential to create a more organized, efficient, and collaborative learning environment.
School Manager
The school manager is the overall manager of the OSMS, responsible for keeping track of the entire school management system. He/she should constantly check the total number of students, students’ online data, students’ attendance, and more. Here is a full list of the responsibilities of the school manager role:
School Manager Responsibilities
- Managing the school’s departments. For example, pre-school, primary, and others.
- Managing the classes and divisions. For example, Basic 1A, Basic 1B, Basic 2, Basic 3, and more.
- Managing the class sections. For example, Section A, Section Red, and more.
- Frequent checks on the total number of students and their online data.
- Daily checks on the students’ attendance.
- Seldom checks and online updates on the staff list, attendance, leaves, and more.
- Updating the school’s timetables, subjects, and other academics.
- Managing the school’s inquiries. Including submitting feedback to parents who submitted online inquiries.
- Managing the school’s online noticeboard for the students to get announcements online.
- And any other monitoring of the Online School Management System.
Staff Manager
The staff manager is the team leader responsible for entering and updating the school’s staff data. This includes the online list of the school’s staff, their attendance, leaves, and roles.
Student Manager
This is where big work is done! The student manager is the biggest responsibility in the OSMS. Below are the responsibilities of the student manager:
- Students Online Admissions and Inquiries.
- Students’ data updates (This includes the parent’s name, child gender, date of birth, and many more)
- Students’ attendance daily online markings.
- Students’ promotions and transfers.
- Students’ user accounts technical support.
NOTE: The student manager can assign some of his/her responsibilities to the teachers since they know the students better and are closer to them.
School Accounting Manager
The school accounting manager is responsible for the school fees’ invoice generation and collection. They can generate fee invoices for every student and print out a list of unpaid or paid students by class.
Transport Manager
The transport manager keeps the names of school buses, the bus numbers, their route and any other data relating to the school’s transports and student who take the bus.
Technical Assistant
The Technical Assistant is the IT guy responsible for assisting the technical aspects of the project. This includes assisting or teaching managers how to enter or update the online data. Also, assisting or guiding students on how to create their student accounts, keep their passwords strong and safe, and log in or reset their passwords.
Technical Support
The IT specialist responsible for fixing the project’s errors. This includes database management, project source code updates, and technical glitches fixes. NOTE: Any technical problem must be reported to the Technical Assistant, and then forwarded to Technical Support Specialist.
